Our promise about your data

People ask what happens to their records if they stop paying, or if a software company disappears. Fair questions. Here is our answer, in writing:

1. Your data is yours

Every staff record, roster, clock-in, contract, food-safety check and training certificate you put into Hospitech belongs to your business, not to us.

2. You can leave any time

You can export everything whenever you like, on every plan, free. No "contact sales", no waiting period, no exit fee.

3. If we ever shut down

If Hospitech is ever discontinued, every customer gets at least 90 days' written notice and a full export of their data before anything is switched off. Nothing gets deleted until that window has passed.

4. We never hold records hostage

Much of what is in here is a legal document for your business: working-time records, signed contracts, food-safety records, training certificates. Whatever happens with plans, limits or billing — exceeding a limit only ever stops you adding things. It never locks you out, and it never blocks an export. We will not use your own compliance records as leverage.

5. If you close your account

Your data stays exactly as you left it for 90 days. During that window you can export it whenever you like, or change your mind and switch back on with everything where it was. After 90 days we delete it.

Remember that several of these you are legally required to keep yourself — working-time records, employment records, food-safety records and training records all have retention periods, and yours are longer than our 90 days. Export before you close. The full detail is in Leaving Hospitech.

6. Your staff's data is not our product

We do not sell it, we do not use it for advertising, and we do not use it to train AI models. We hold it to run the service you are paying for, and for nothing else.
