Holidays and time off

Requests come from phones, you approve in one place, and approved leave lands on the roster by itself.

  1. Set your rules first

    Leave → Rules. How much notice you want, and how many people can be off at once — usually one kitchen and one front-of-house per venue. Set this before you open requests or you'll be arguing with the first three people who ask.

  2. Block the dates you can't give away

    Christmas, the August weekend, whatever your year looks like. Blocked dates are visible to staff when they request, so most conflicts never become a conversation.

  3. Staff request from their phone

    No app, no login — they get a link. They see their balance and any blocked dates before they ask.

  4. Approve or decline

    Leave → Requests. You see their remaining balance and anyone already off that week. Declining asks for a reason, and they get it — a silent decline is how goodwill goes.

  5. Check the year

    Leave → Calendar is the whole year on one screen, by venue and department. This is the screen to look at before you promise anybody anything in February.

When it doesn't go to plan

  • Someone's balance looks wrong. Entitlement comes from their HR record — start date and contracted hours. Fix it there and the balance follows; don't adjust the request.
  • Two people are off who shouldn't be. The conflict rules only cover what you've set. If a role isn't in the rules, the system has no opinion about it.
