Legal Acceptable Use

Acceptable Use Policy

This covers what you may not do with Hospitech. It applies to your business and to everyone you give access to.

1. Don't break the law with it

No use of the platform for anything unlawful, and no using it to help someone else break the law. That includes using the records here to disguise something — falsifying a food-safety check after the fact, or backdating a contract, is not a use we support.

2. Don't go after other customers' data

No attempting to access another business's account, no probing for holes in the separation between accounts, no interfering with anyone else's use of the platform.

Testing your own account's security is welcome — please tell us what you find at hello@hospitech.ie. Testing someone else's is not, and never will be authorised.

3. Don't put things here that don't belong here

Hospitech is for managing your staff. It is not general file storage. Specifically, don't upload:

Note that staff data you are entitled to hold includes sensitive material — sick certs, right-to-work documents. Those belong here. This clause is about things that don't.

4. Don't resell it as your own

You may use Hospitech to run your own business, including several venues under the same ownership. You may not resell access, run other businesses' staff through your account, or present the platform as your own product, without a written agreement with us.

If you want to do something like that — a group operator, a consultant managing several clients — talk to us. The answer is likely yes with the right arrangement. It is the doing-it-quietly part that this clause is about.

5. Don't break it on purpose

No attempts to overload, disrupt, reverse-engineer or circumvent the platform's limits, and no automated scraping of it. Ordinary use of any API we publish to you is fine and encouraged.

6. One account, real people

Logins are for named individuals. Don't share a manager login around a team — the audit trail is only worth having if it names a person, and a shared login makes every record it touches worthless as evidence in exactly the situation you'd need it.

Per-person clock-in PINs are issued by the system for the same reason. Don't reassign them by hand.

What happens if you breach this

We will contact you first. Genuine misunderstandings get sorted out in a conversation, and that is how we expect nearly all of these to go.

For serious or repeated breaches — particularly anything under §2 — we may suspend access, with notice where it is practicable to give it. Suspension is not deletion: your data stays, your retention window runs as normal, and you can still export it. See Leaving Hospitech.

We will not suspend an account over a billing dispute. That is what section 5 of the offboarding policy is for.
